Oral Presentation Guidelines

Oral Presentations are generally split into three categories, as follows:

1) Plenary Lectures
  • Each Plenary lecture is 45 minutes in length and comprises one presentation. We recommend you plan to present for approximately 35 minutes with 10 minutes for questions/discussion.
  • Where Plenary Lectures are presented as debates, each of two speakers should plan to present for 20 minutes, allowing five minutes for closing questions and conclusions. We recommend that invited speakers communicate in advance of the EOS so that presentations may be coordinated.
2) Review Sessions
  • Each Review Session is 90 minutes in length and comprises 3-6 presentations, 2 (3) invited lectures of 30-15 minutes each and a number of abstracts selected lectures of 10 minutes each.
  • We recommend that those with a 30-15 minute presentation plan to leave 5-3 minutes for questions/ discussion.
  • We recommend that those with 10 minute presentations plan to present for approximately 8 minutes, allowing time for questions/discussion at the end of the presentation.
3) Oral Sessions
  • Each Oral Session is 90 minutes in length and comprises eight presentations, of 10 minutes each.  We recommend that you plan to present for approximately 8 minutes, allowing time for questions/discussion at the end of the presentation.

Sessions Hall and Audio Visual Equipment

All session halls are equipped with standard PowerPoint presentation facilities. All presentations will be networked to the appropriate room “Speaker Preview Room” (located in the Registration area) and your presentation must be submitted to the “Speaker Preview Room” (located in the Registration area) at least 60 minutes in advance of your session – you will not be permitted to use a memory stick, CD or your own laptop in the session hall.

Please prepare you presentation in 16:9 format (screen are in format 16:9). We recommend you to save your PowerPoint presentation using PPT(X) format instead of PPS.


A technician is available in every session room to provide assistance when needed. Due to the online presentation system, all speakers are kindly requested to use provided PC onsite. Please be present in the session room 15 minutes prior the start of your session and follow the instructions from the Chairs and/or technician. During your presentation a remote control will be available for controlling your presentation. Please observe the time allotted to you as you will not be permitted to speak for longer time. At the end of the Congress, all presentations will be deleted from the presentation system and computers on-site.

Speaker Preview Room
All speakers are asked to upload their presentation at the Speaker Preview Room (located in the Registration area) at least one hour before the beginning of the session or the day before in case of a morning session.

Poster Guidelines

The poster exhibition will be an integral part of EOS 2016.  

The poster exhibition will be located on the exhibition area of the congress centre.The area will be clearly signposted from the registration area.

Technical Instructions; (EASO IFSO-EC);

  • Posters must be prepated in Portrait style.
  • Please DO NOT prepare a landscape poster
  • The dimensions should be 100 cm high by 70 cm wide
  • Posters should be attached to the boards with stickers, which will be supplied by the organisers.

Poster session : Friday, 03 June from 1800 - 1930 hrs Please plan to be at your poster and available to answer questions from delegates at the time of your assigned poster session. Posters will be displayed according to track and will be grouped by sub topic in numerical order.If you  do not know your poster number, please contact the registration desk . The use of official EOS, EASO and IFSO-EC logos is not permitted. Personal or Professional advertising in the poster sessions is also strictly prohibited.

Poster Mounting and Dismounting
  • PO1, PP1, PP2, PP3 and LBP1 posters should be mounted from 1300 hrs on Wednesday, 01 June 2016.
    Note : you will not have Access to the poster area before that – please do not attempt to mount your poster before this time.
  • Posters should be removed after 1800 hrs on Thursday, 02 June 2016
  • Posters wil be removed and discarded if not removed by 0800 on Friday 03 June 2016
  • PO2, PP4, PP5 and LBP2 posters should be mounted from 0830 hrs on Friday, 03 June 2016.
    Note : you will not have Access to the poster area before that – please do not attempt to mount your poster before this time.
  • Posters should be removed after 1330 hrs on Saturday, 04 June 2016
  • Posters wil be removed and discarded if not removed by 1500 hrs on Saturday 04 June 2016
Poster Pitch Sessions (PP1, PP2, PP3, PP4 and PP5)
Selected posters will also be allocated for Pitch Poster Sessions – these posters will be clealry marked. Poster pitch sessions will take place as fast moving oral sessions running alongside the poster sessions themselves.  Each author is permitted a maximum of 3 minutes to present their poster, with online voting for the best pitches per session.  Please note that you should create your poster as an oral prsentation.You will be permitted to just 1 slide ( with custom animation ) to describe your work.

Preparation of the presentation for Poster Pitch Session
  • Please prepare your presentation for POSTER PITCH Session as an MS Powerpoint document.
  • Only 1 slide per author is allowed, it should focus on the most interesting part of the traditional poster.
  • The information is a full responsibility of the author.
